Start with the flight, not just a time
Send the arrival date and flight number alongside the airport and terminal, if known. Make clear that you are requesting an arrival pickup rather than a departure transfer. Your scheduled landing time is useful context, but it is not the same as the moment you will be ready at the meeting point. Ask the reservations team how collection timing will be agreed.
Describe everyone and everything travelling
Give the passenger count, number of large suitcases and cabin bags, and details of any buggy or unusually shaped item. Mention any assistance or child-seat requirements before accepting a quote. Seats and luggage space need to be considered together; photographs of a vehicle alone cannot confirm that your party and bags will fit.
Agree the meeting point and contact
Keep the confirmed pickup instructions accessible on your phone. Provide a mobile number for the lead traveller, including the country code, and retain the reservations contact. If your arrival details change, contact the booking team to agree an updated plan. Do not assume a general terminal entrance is the designated meeting point.
Finish with the onward journey
Include the full destination address, any preferred hotel entrance and every planned stop. Tell the team about a time-sensitive appointment at the other end. Before travelling, review the quote for waiting arrangements, parking, changes and cancellation terms. Your booking confirmation should be the reference for the journey you have actually agreed.
Ready to discuss your journey?
Send your date, route, passenger count and luggage details. London Direct Chauffeurs handles quotes, bookings and journeys; your confirmation sets out the arrangements agreed for your trip.
