Choose the correct entrance
Send the hotel name and full address, then confirm which entrance is best for your arrival or collection. Some properties have separate reception, event or vehicle entrances. If you have instructions from the hotel, include them with the booking request rather than relying on the postcode alone.
Make luggage part of the request
Tell the reservations team how many passengers and bags will be travelling. If the journey is linked to an airport arrival, include the flight details as well. Mention any additional equipment or assistance requirements early so they can be discussed before a vehicle is confirmed.
Connect the hotel with your next stop
If you plan to drop bags and continue to a meeting, shopping appointment or dinner, describe the complete route and the time you expect to spend at the hotel. Ask whether a transfer with an agreed stop or hourly hire is the better fit. Extra waiting should be agreed in advance.
Plan departure before the final morning
For the return trip, confirm the collection entrance, lead traveller contact and destination. If you are travelling to an airport or station, provide the relevant departure details and discuss the collection time with the booking team. Keep the confirmed instructions easy to find on the day.
