Make event transport part of the plan

Coordinate collections, venue entrances and return travel for an important date.

Start with the arrival that matters

Work backwards from the time you need to be at the venue, including any photographs, reception arrangements or entrance procedures. Share the full itinerary with the reservations team, not only the ceremony or event start time. Give each collection address and the number of people travelling from it.

Coordinate with the venue

Ask the venue which entrance vehicles should use and whether there are access instructions or restrictions. Share those details before the event. For a wedding, agree where passengers should be dropped off and where any later collection will take place. A named contact at the venue can help clarify the plan.

Confirm vehicle needs early

Discuss passenger numbers, luggage and any space required for clothing or equipment. Mention a preferred vehicle style, but ask the booking team to confirm the actual category and availability. If decorations or special arrangements matter, agree them explicitly rather than assuming they are included.

Give the return its own attention

Record the return time, collection point and lead passenger contact. If the finish time is uncertain, discuss how waiting or a later departure will be handled. Share one final itinerary with the people who need it and send amendments to the reservations team so they can confirm the revised arrangements.
